2025 Expo Sponsorships

Maximize your visibility at the Expo!

Sponsorships can greatly maximize your visibility at the Business Expo. These opportunities are available to both Exhibitors and businesses that cannot attend the Expo, but wish to share with attendees information about their products and services. 

Below are the sponsorships currently available. Sponsor them by completing the 2025 Expo Contract. If you have any questions about the expo, email sales@hcms.org.  All Sponsorships include the following benefits:
  • Up to two representatives are invited to attend the Expo and share the Sponsors Booth with other sponsors if a separate booth has not been purchased.*
  • Acknowledgment on promotional flyers that are distributed to HCMS membership prior to the Expo.
  • Acknowledgment on the HCMS website.
  • Acknowledgment on registration materials handed out at the Expo.
  • Physician List provided to you after the Expo.

Solo Sponsorship Opportunities

Badge Holder/Lanyard Sponsorship - SOLD
All Expo attendees will receive and wear a name badge hanging on a lanyard. The lanyards will be distributed by HCMS staff at the main Expo registration desk. The sponsor is responsible for designing and purchasing the badge holders. The look, and the text on the badge holders are subject to Medserv approval.

Email Invitation Sponsorship
Around 5,000 invitations will be emailed to HCMS physician members announcing the Expo and the CMEs. The emailed invitation will be sent at least twice. The emailed invitation will include the Sponsor’s logo and will be hot linked to the Sponsor’s website. 

Fee for Sponsorship: $900


Flier Sponsorship - SOLD
Fliers will be distributed to physicians at various meetings across town (Branches, Social Events, HCMS leadership meetings and more) announcing the Expo and the CMEs. Fliers will also be faxed and offered at the HCMS reception area. Recognition on the flier will include the Sponsor logo, business name and booth number if exhibiting.

Notepad Sponsorship - SOLD
All CME attendees will receive an event sponsored pen and note pad (see Pen Sponsorship information) distributed by HCMS staff at the CME registration. The Sponsor is responsible for designing and purchasing the note pads. The note pads should be large enough for physicians to use for note taking in the seminars. The note pads’ text and design on them are subject to Medserv approval.

Parking Pass Sponsorship 
About 200 parking passes will be emailed to physicians and their office staff prior to the Expo. Your business logo will be featured on the parking passes and hyperlinked to your website.

Pen Sponsorship - SOLD
All CME attendees will receive an event sponsored pen and note pad (see Note Pad Sponsorship information). The note pads will be distributed by HCMS staff at the CME registration table. The Sponsor is responsible for designing and purchasing the pens. The pens’ text and design on them are subject to Medserv final approval.

Registration Bags - SOLD
All Expo attendees will receive an official Expo bag distributed to them by HCMS staff at the main Expo registration desk. The Sponsor is invited to place company literature in the bag. The Sponsor is responsible for designing and purchasing the bags. The size and text on the bag are subject to Medserv approval.

USB Flash Drive Sponsorship

All Expo attendees will receive the USB flash drive which will be inserted in the registration bags and distributed by HCMS staff at the main Expo registration desk. The Sponsor is responsible for purchasing the USB flash drives and having its company information, including the products and/or services it offers, uploaded to the USB flash drives. The text and design on the flash drive, including the content uploaded to the flash drives, are subject to Medserv approval. This sponsorship ensures that every attendee receives information about your company and its products and services.

Multi-Sponsorship Opportunities

CME Sponsorships (3 spots available)
The main draw to the Expo are the three complimentary CME seminars, dealing with the business of medicine. Most physicians attending the Expo will attend at least one CME. Many physicians attend all three. These Sponsorships have very high visibility. Sponsors will be acknowledged on signage at the seminar registration table at the entrance to the seminar room (if Sponsor is also an Exhibitor, the booth number will be listed on the sign as well). Sponsors will also be acknowledged on the cover of the seminar printed material distributed to all the CME attendees. 

There will be three CMEs throughout the event. There is one Sponsorship opportunity per CME. 

Fee for Sponsorship: $800 per Sponsorship per CME.

CME Speaker Schedule:
       9:00 a.m. to 10:00 a.m. - Establishing and Maintaining Your Medical Practice: Legal Options and Keys to Success (Ethics CME)

Continental Breakfast Sponsorship - (2 spots available) 
The Continental Breakfast Sponsorship offers Sponsors high visibility at the Expo with the exhibitors and sponsors at the expo. Continental Breakfast will be served during the exhibitor set-up time prior to the Expo starting and will be offered at a single location (refer to the floor plan. This is a popular visiting area for Exhibitors and Sponsors prior to the event and an excellent opportunity to increase your visibility and networking opportunities with other vendors. Sponsors will be acknowledged on a sign at the Continental Breakfast table. If a Sponsor is also an Exhibitor, the booth number will be listed on the sign as well.

Fee for Sponsorship: $450 per Sponsorship. Two Sponsorships.


Lunch and Learn Sponsorships (3 of 4 spots available) 
The Expo offers a 1 hour Lunch and Learn seminar. As a Sponsor you are invited to dine with the physicians. Lunch is included. The seminar will take place from 12:30-1:30 p.m. at the seminar room within the Expo hall. Sponsorship acknowledgement will be provided on signage in the dining area. If Sponsor is also an Exhibitor, the booth number will be listed on the sign as well. In addition, the Sponsor's literature can be distributed to all attendees if the material is provided to HCMS staff no later than 12:15 p.m. for distribution. This sponsorship opportunity is available to four co-sponsors.

Mimosa Sponsorship - (2 spots available) 
The Mimosa Sponsorship offers Sponsors high visibility at the Expo with the physicians. Mimosa will be served from 9 am – 11:30 am and will be offered at a single location (refer to the floor plan). This is a popular visiting area for physicians as they start their day at the Expo. Each Sponsor will be acknowledged on the sign.

Fee for Sponsorship: $450 per Sponsorship. Two Sponsorships. Competitors will not share Sponsorship. 


Refreshment Sponsorships 
The Refreshment Sponsorship offers Sponsors high visibility at the Expo with physicians. All refreshments at the Expo will be offered at a single location (refer to the floor plan. This is a popular visiting area for most attendees. Each Sponsor will be acknowledged on a sign at the refreshment table during Sponsorship time (if Sponsor is also an Exhibitor, the booth number will be listed on the sign as well).

There will be two refreshment breaks throughout the day and two sponsorship opportunities per break.

Fee for Sponsorship: $550 per Sponsorship at each break. Competitors will not share Sponsorship on the same refreshment break. 

Refreshments Schedule: 
      
Break 1 (two sponsors): 8:30 a.m.-12 noon
      Break 2 (two sponsors): 12 noon-3:30 p.m.


Stick 15 to Win Game - Required Stop (attendees are required to stop at your booth to enter door prize drawings)
All Expo attendees will receive a Stick 15 to Win game form distributed by HCMS staff at the main registration check-in desk. The Stick 15 to Win game form will include game instructions and a map of the exhibit floor. During the Expo the physicians participate in the Stick 15 to Win game where they must collect a sticker from 15 different Exhibitors in order to be eligible for door prize drawings. Up to eight of the 15 exhibitors can be designated a "required stop". 

Physicians love the door prizes and are motivated to participate in the drawings. Participating as a designated "required stop" on the floor plan increases your visibility and opportunity to engage more physicians in conversation about your products and services. We strongly encourage designated "required stop" Exhibitors to donate a door prize. Door prizes will be drawn during two breaks during the Expo at the main door prize area. 

This sponsorship is only available to companies who have their own Expo booth. 

Fee for Sponsorship: $400. No more than eight Sponsors total. Six of eight spots available.


Water Cooler Sponsorship - (2 spots available)

The Water Cooler Sponsorship offers Sponsors high visibility at the Expo. Although other refreshments will be available throughout the day, there will only be one place where attendees can obtain water. This is a popular visiting area for most attendees. Each Sponsor will be acknowledged on a sign displayed next to the Water Cooler during the entire event (if Sponsor is also an Exhibitor, the booth number will be listed on the sign as well).

Fee for Sponsorship: $450. Two Sponsorships. Competitors will not share Sponsorship.
